How to send statuses and media files via the Telegram

The Telegram bot allows employees to send information to PILOT directly from a mobile device. An employee can select their current status and send a photo or video from the work site. For example, an employee can send the statuses Departed and Started work in sequence. After completing the work, they can select Work completed and attach a photo of the result. The submitted media files can then be found and viewed in the PILOT web interface.
 

Configuring Telegram statuses

Statuses are configured separately for each PILOT account. Employees see only the statuses added by the master user in the settings of the corresponding account.
A user with master permissions must configure the statuses:
1. Sign in to the PILOT web interface
2. Open Account settings
3. Go to the Telegram statuses tab

4. Click + Add
5. Enter the status name
6. Click OK
The new status will appear in the list. The value in the Order column determines its position among the other statuses.
To delete a status, select it in the list and click Delete.
Once the account is connected to the Telegram bot, the configured statuses become available to authorized users.
 

How to send a status

Signing in to the Telegram bot

Before starting, the employee must connect the Telegram bot to their PILOT account:
1. Open the PILOT Telegram bot
2. Start the bot using the /start command
3. Enter the PILOT account login
4. Enter the password
5. Wait for the successful authorization message
Sign in using the account for which the master user configured the required statuses.

Sending a status in the bot

3. Wait for the Status sent message
This message confirms that the bot has accepted the selected status. You can then continue using the bot: select another status when the work stage changes or send a photo or video.
 

How to send a photo or video

The Telegram bot can be used to send materials that confirm completed work or show the condition of a site or asset. For example, you can send a photo or video of the work site, equipment before maintenance, completed work, or delivered cargo.
To send a file:
1. Open the PILOT Telegram bot
2. Tap the attachment icon

4. Send the file
5. Wait for the Media saved message
This message confirms that the file has been received and saved in PILOT.
 

How to view submitted media files

When a user submits a media file for the first time, PILOT creates a separate object bearing the user’s Telegram name in the object list. All subsequent photos and videos from that user are saved under the same object.
1. Open the Online tab in the PILOT web interface
2. Find the object bearing the Telegram user’s name in the object tree
3. Right-click the object
4. Select Media
5. Specify the period for which you want to display the files
6. Find the required entry
7. Click the photo or video icon to open the file
To save a file to your computer, click the download icon next to the corresponding entry.
The Media tab displays the photos and videos submitted by the user through the Telegram bot, along with the date and time they were received
